PAYMENT, CANCELLATION & TRAVEL POLICY

Please read the following payment, cancellation, and travel conditions carefully before confirming your booking.

1. PAYMENT POLICY

  • A 50% deposit of the total tour price is required in advance to confirm the booking.
  • The remaining 50% balance must be paid upon arrival in Vietnam, before or at the commencement of the tour, unless otherwise agreed in writing.
  • The remaining balance can be paid in cash.
  • Your booking will only be considered confirmed once the required deposit has been received and confirmation has been issued by Vietnamism Travel.
  • Any bank charges, international transfer fees, or other transaction fees, if applicable, shall be borne by the customer.

2. CANCELLATION POLICY

If you wish to cancel your booking, please notify Vietnamism Travel in writing as soon as possible. Cancellation fees will be calculated based on the date we receive your cancellation request.

The following cancellation charges apply:

Less than 7 days before departure / No-show 100% of the total tour price

Important Notes

  • Train tickets, flight tickets, and other non-refundable transportation tickets are non-refundable once issued, regardless of the tour cancellation date.
  • Any non-refundable deposits or fees already paid to third-party service providers, including hotels, cruises, transportation companies, airlines, or other suppliers, may also be deducted from the refundable amount where applicable.
  • Refunds, if applicable, will be processed after deducting cancellation charges, non-refundable services, and applicable bank or transaction fees.
  • No refund will be provided for any unused services after the tour has commenced due to the guest’s personal decision, late arrival, early departure, or failure to participate in any part of the itinerary.

3. CHANGES TO YOUR BOOKING

Any request to change the travel date, itinerary, accommodation, transportation, or other confirmed services is subject to availability and the conditions of the relevant service providers.

Additional charges may apply if changes result in higher transportation fares, accommodation rates, entrance fees, or other service costs.

4. TRAVEL DOCUMENTS

Guests are responsible for ensuring that they possess all necessary and valid travel documents before departure.

Please bring:

  • A valid passport with at least six (6) months’ validity from the date of travel.
  • A valid Vietnam visa or other required entry documents, where applicable.
  • Flight tickets, travel insurance documents, and other relevant travel documents as required.

Vietnamism Travel shall not be responsible for any additional costs, cancellation fees, denied boarding, or denied entry resulting from invalid, expired, incomplete, or missing travel documents.

5. WHAT TO BRING

For a comfortable and enjoyable trip, we recommend bringing:

  • Valid passport and necessary travel documents
  • Comfortable and appropriate clothing for the itinerary and weather conditions
  • Sunglasses and a hat
  • Comfortable walking or sports shoes
  • Sunscreen
  • Insect repellent
  • Personal first-aid kit and any necessary medications
  • Personal toiletries
  • Raincoat or compact umbrella, depending on the season
  • Vietnamese Dong (VND) in cash for personal expenses, small purchases, local services, and other expenses not included in the tour package

6. TRAVEL INSURANCE

Guests are strongly recommended to purchase comprehensive travel insurance before departure. The insurance should provide appropriate coverage for trip cancellation, medical expenses, accidents, personal belongings, travel delays, and other unforeseen circumstances.

7. FORCE MAJEURE & UNFORESEEN CIRCUMSTANCES

Vietnamism Travel reserves the right to make reasonable changes to the itinerary where necessary due to circumstances beyond our reasonable control, including but not limited to severe weather, natural disasters, transportation disruptions, government regulations, strikes, public health emergencies, road conditions, or other force majeure events.

In such circumstances, we will make reasonable efforts to provide suitable alternative arrangements. Any additional costs arising from circumstances beyond our control may be borne by the customer, subject to the specific situation and applicable supplier policies.

8. ACCEPTANCE OF TERMS

By paying the deposit or confirming the booking, the customer acknowledges that they have read, understood, and agreed to the above Payment, Cancellation & Travel Policy.
